Parish Secretary – Job Description

The St John’s Parish Secretary is employed on a part time basis three days per week (Tuesday-Thursday) between the hours of 8.30am to 3.00pm (with a half hour lunch break - 12.30 - 1.00pm).

The primary function of the Parish Secretary is to respond to phone calls and visitors to our parish in a welcoming manner. As the first point of contact with our parishioners, as well as strangers and possibly the needy, a commitment to absolute confidentiality is essential.

The Secretary is also required to provide administrative support and assistance, as required, to the Parish Priest, the Assistant Priest and the Parish Coordinator and, in general terms, to the Parish Community.

Functions:

• Respond to all personal and telephone enquiries
• Respond to baptismal enquiries, provide relevant information and liaise with Baptismal Preparation Couples, issue Baptismal Certificates
• Compile the Parish Weekly Newsletter (Compact)
• Maintain Parish Diary – weddings, funerals, library and Parish Centre bookings
• Assist with incoming and outgoing correspondence
• Arrange lodgment of Newsletter (weekly) and the Parish Pastoral Council minutes (monthly) on the Parish website, and ensure that parish data is backed up regularly.
• Maintain Parish Sacramental registers (manual and computerized)
• Maintain the Neighborhood Communities Register.
• Liaise with Neighborhood Community contacts as necessary
• Compile Music Copyright Return (annually)
• Liaise with Parish coordinator regarding stationery and cleaning supplies
• Assist with general office duties
• Maintain the tidiness of the Church Foyer and Notice Boards
• Other duties as required

Knowledge and Skills:

• Well developed interpersonal skills with an ability to interact effectively with the parish Team and all people approaching the parish
• Well-developed time management skills with the ability to establish and meet priorities.
• Capacity to work effectively in a team environment.
• Well developed keyboard skills with some experience/familiarity with Microsoft Office software (etc)

Salary and Conditions:

• Salary is aligned to ACT Clerks Award Grade Two
• 9% employer superannuation contribution

• 4 weeks annual leave
